Working hours: Monday – Friday 08:00 – 17:00, Saturday 08:00 – 13:00


About the company

Our client is an established automotive parts retailer operating multiple outlets in the greater Durban region. Their business supplies parts and accessories to trade customers and the public. The company is owner-managed, and they are creating a new central support role to work directly with the owner, overseeing administrative and operational functions across four outlets.


Role overview

This is a varied, hands-on administrative role – not a typical personal assistant position. You will track issues across outlets, compile reports, handle basic HR paperwork, and use technology to keep operations running smoothly. You must be comfortable with Google Workspace, able to learn new systems quickly, and unafraid of basic tech tasks (e.g., playing back CCTV footage, working with time & attendance data, etc.)


Key responsibilities

  • HR administration – Drafting letters, filing staff contracts, and managing warnings (signing and filing).
  • Reporting & data management – Pulling fleet reports, inputting data, and compiling reports using information provided by management.
  • Issue tracking – Creating and maintaining a “to do” list for any problems arising between outlets, then following up until a solution is found.
  • Process documentation – Understanding existing workflows, then documenting them in writing and as flow diagrams.
  • Technology & systems – Using Google Sheets for data entry and reporting, assisting with a new time & attendance system (including creating manual reports during the transition), and reviewing CCTV playback to check for cash discrepancies or missing items.
  • General office administration as required.

What we are looking for

  • Tech savvy – Confident using Google apps (Sheets, Docs, Drive) and able to learn new software quickly. Not intimidated by technology.
  • Process-minded – Can write clear instructions and draw simple flow diagrams.
  • Organised and proactive – Can manage tasks across multiple outlets and follow up without being reminded.
  • Trustworthy and discreet – Handles employee contracts, warnings, and occasionally CCTV footage.

Minimum requirements

  • Matric / Grade 12.
  • At least 1–2 years of clerical or administrative experience (automotive or retail sector is a plus, not essential).
  • Working knowledge of Google Sheets (basic formulas, sorting, filtering, data entry).
  • Ability to write clearly in English and follow instructions.
  • Willing to complete a psychometric assessment as part of the selection process.
